Terms of Hire

By making a booking with Bike Box Hire UK ("we", "us", "our"), you acknowledge that you have read and agree to these Terms of Hire.

1. Eligibility

You must be at least 18 years old and capable of entering into a legally binding agreement to hire a bike box from us.

2. The Service

Bike Box Hire UK provides bike box hire through our network of hub locations across the United Kingdom. Each hub is an independent local bike shop that stores and maintains our boxes on our behalf.

3. Bookings

All bookings are subject to availability. The minimum hire period is 7 days. Bookings are confirmed upon successful payment. You will receive a confirmation email with your booking details and a QR code for collection.

Your booking is a personal agreement between you and Bike Box Hire UK. You may not sublet, transfer, or assign your booking to any third party.

4. Pricing and Payment

EasyFit boxes are charged at £11 per day. Premium boxes are charged at £7.10 per day. The packing service is £79.99. London courier delivery is an additional £80. All prices include VAT where applicable.

Full payment is required at the time of booking. Payment is processed securely through Stripe.

5. Collection and Return

Boxes must be collected from and returned to the same hub location. Collection and return must take place during the hub's published opening hours and on days the hub is open. You must present your booking QR code at collection.

If you fail to collect on the agreed date, no refund will be issued and the box may not be available for later collection.

6. Your Responsibilities

You are responsible for the bike box during the entire hire period. You must:

  • Return the box in the same condition as collected, allowing for reasonable wear and tear
  • Not modify, damage, or alter the box in any way
  • Use the box solely for transporting or storing bicycles
  • Ensure your bicycle fits securely inside the box
  • Follow all provided instructions regarding use, handling, and storage

7. Extending Your Hire

You can extend your booking through your online account, subject to availability of your specific box. Extensions are charged at the same daily rate. If you need more time, please contact us or extend through the website as early as possible.

8. Late Returns

Boxes must be returned by the agreed return date. Late returns will incur a charge of £20 per day. Late returns may affect other customers' bookings. Please contact us immediately if you anticipate a late return.

9. Cancellation Policy

Cancellations made more than 14 days before the collection date will receive a full refund. Cancellations made 14 days or less before the collection date are non-refundable. No refunds are issued after the rental period has begun.

Cancellations can be made through your online account. Refunds are processed automatically to your original payment method and may take 5–10 business days to appear.

10. Damage and Loss

Normal wear and tear from standard use is expected and acceptable. If the box is returned with significant damage, we may charge a damage fee. If the box is lost, stolen, or not returned, you will be liable for the full replacement cost of the box.

You agree to indemnify and hold Bike Box Hire UK harmless from any liability, claims, damages, or expenses arising from your use or misuse of the bike box.

11. Packing Service

If you have booked our packing service, the hub will pack your bike into the box. You must arrange a time with the hub to bring your bike in on or before your collection date. We are not liable for any damage to your bike during packing, transit, or unpacking.

12. Liability

Our liability is limited to the hire cost paid, except in cases of gross negligence or wilful misconduct. We are not liable for any damage to your bike, personal belongings, or any consequential losses arising from the use of our service. Where your bike is packed by one of our hubs as part of our packing service, neither the hub nor Bike Box Hire UK accepts any liability for any damage to your bike, its components, or any consequential losses, however caused. You are responsible for ensuring your bike is adequately insured for travel.

13. Force Majeure

We are not responsible for any failure or delay in fulfilling our obligations caused by events beyond our reasonable control, including but not limited to natural disasters, strikes, transport disruptions, pandemics, or other external circumstances.

14. Modifications to Terms

We may update these Terms from time to time. Updated terms apply to all bookings made after the posting date. We encourage you to review these terms periodically.

15. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales. We encourage you to contact us first at hello@bikeboxhireuk.co.uk so we can try to resolve any issue amicably.
